Transforming an office is a complex undertaking in itself. When business operations, critical processes and employees’ day-to-day activities must continue uninterrupted throughout construction, however, the project extends far beyond the scope of a conventional fit-out. This was precisely the challenge faced by ESTON’s project management team during the development of a nearly 2,900 sqm corporate office in Budapest.

A smaller footprint and a new operating model

One of the project’s key business objectives was to consolidate the operations of a Hungarian SME from approximately 4,500 sqm to nearly 2,900 sqm of office space.

The assignment was not simply about reducing the office footprint. The challenge was to create a more efficient and functionally diverse workplace within a smaller area, while also supporting hybrid working practices and the organisation’s long-term requirements.

The traditional office layout was replaced with an environment offering a wider range of working settings. In addition to open-plan workspaces, the new office includes areas for focused work, meeting rooms, collaboration zones and communal spaces. Wellbeing and recreational facilities, including a communal dining area, massage room, table tennis room and table football room, further enhance the workplace experience.

The result is a smaller yet more versatile office capable of supporting a variety of working styles and activities.

Transformation during ongoing business operations

From a project management perspective, the greatest challenge was that construction took place within a fully operational business environment. Business continuity and critical processes had to be maintained throughout the entire project.

The works therefore had to be delivered in several carefully coordinated phases. ESTON’s project management team continuously managed the release and handover of individual areas, temporary and permanent internal relocations, the movement of organisational units and the construction programme.

Every phase had to be aligned with the client’s day-to-day operations. Particular attention was given to data security, access management and ensuring that employees could continue to work safely and without disruption throughout the transformation.

“One of the project’s greatest challenges was transforming a live corporate environment without interrupting business operations at any point. This required highly precise phasing, continuous coordination and rapid decision-making,” said Dávid Németh, Project Manager at ESTON.

Project management as an integrating function

In a transformation of this scale, project management involves far more than monitoring deadlines and individual tasks. Throughout the project, business requirements, design, technical feasibility, programme, budget and construction all had to remain closely aligned.

The client, design team, contractor and project management team worked together intensively, often on a daily basis. Changing circumstances required several elements of the project to be reconsidered, making continuous prioritisation and rapid decision preparation essential.

The objective was not to deliver every original concept without modification. Instead, the focus was on protecting the project’s core values – functionality, quality, a people-centred workplace and long-term usability – while adapting to changing circumstances.

Cost control while preserving project value

Further challenges arose from the volatility of the EUR/HUF exchange rate and changes in euro-denominated material and furniture costs. Continuous budget monitoring, decision support and value engineering were therefore required throughout the delivery process.

In several cases, alternative technical solutions, materials, suppliers and design details had to be assessed. The purpose of value engineering was not simply to reduce costs, but to preserve the greatest possible project value within the available budget, without compromising the fundamental objectives of the design, functionality or quality.

Existing elements given a new purpose

Sustainability was approached not as a standalone feature, but as a guiding principle throughout the design and delivery process. Wherever technically and aesthetically viable, existing elements were retained and incorporated into the new concept.

Existing glass partitions were relocated, previously used furniture was integrated into the new spatial structure, and several items were given a new function. In the table football room, for example, a distinctive lighting installation from the previous office became one of the defining features of the new space.

Energy-efficient lighting, solutions that maximise natural daylight, integrated planting and a flexible spatial structure capable of adapting to future requirements further support the office’s long-term sustainability.

Measuring success through long-term usability

The outcome of the project is more than the successful delivery of a new office. Its real achievement lies in fulfilling the original business objective: creating a more efficient, flexible and functionally diverse workplace within a significantly smaller footprint.

The completed office supports focused work, collaboration, community building and employee wellbeing, while remaining adaptable to the organisation’s evolving operational requirements.

The project demonstrates that effective project management goes beyond coordinating delivery. Its role is to protect the project’s most important values in a changing environment and translate business objectives into a functional, sustainable and enduring workplace.
