Office Manager
This position plays a key role in ensuring the smooth day-to-day operation of the office, whileproviding ongoing support to management and internal teams. We are looking for a precise, well-organised and client-focused professional who enjoys a varied and dynamic role.
Responsibilities
Front Office
• Handling and forwarding incoming calls
• Welcoming and assisting clients and visitors
• Organising meetings, internal events and supporting their execution
• Managing incoming and outgoing mail, liaising with courier services
• Handling office building–related administrative matters
• Liaising with cleaning and maintenance service providers
• Ensuring meeting rooms, shared spaces, recreational areas and kitchen areas are kept in order
Back Office
• Daily use of the Documat document management system
• Forwarding invoices and documentation to the Finance department
• Managing access cards and the access control system
• Coordinating IT-related matters
• Fleet management (company cars and mobile phones)
• Coordinating office and kitchen supplies
• Supporting HR, Marketing and Sales teams in event organisation
• Data entry, record keeping and administrative reporting
• Taking minutes at management meetings when required
• Ordering business cards
Executive Support
• Providing day-to-day support to management
• Preparing contracts and related documentation
• Organising appointments with legal advisors and notaries
• Managing lunch orders and restaurant reservations
